Group Agreement for
Volunteers and Staff 

Mount Vernon Community Hall

(Applicable within the hall and at all activities organised out with the hall including within the wider community) 

 

1. Purpose 

This Code of Conduct sets out the standards of behavior expected from all staff and volunteers representing Mount Vernon Community Hall. It ensures a safe, respectful, and inclusive environment for everyone. 

 

2. Core Principles 

  • Respect and Dignity: Treat all individuals fairly, regardless of age, gender, ability, ethnicity, or background. 

  • Safety First: Prioritize the welfare of children, vulnerable adults, and all participants. 

  • Integrity: Act honestly and responsibly in all interactions. 

  • Professionalism: Maintain appropriate boundaries and behaviour at all times. 

 

3. Behaviour Expectations 

 

Within Mount Vernon Community Hall 

  • Be courteous and supportive to all hall users. 

  • Follow safeguarding procedures:  

  • Never be alone with a child or vulnerable adult unless necessary and authorised. 

  • Report any concerns immediately to the designated safeguarding lead. 

  • Keep confidential information secure and only share on a need-to-know basis. 

  • Avoid language or actions that could be perceived as discriminatory, abusive, or threatening. 

 

Out with the Hall (Events, Trips, Community Activities wider community) 

  • Represent Mount Vernon Community Hall positively and uphold its values. 

  • Apply the same safeguarding standards as within the hall. 

  • Ensure risk assessments and supervision ratios are in place. 

  • Do not engage in behaviour that could damage the hall’s reputation. 

 

4. Digital and Social Media 

  • Use social media responsibly and never share confidential or sensitive information. 

  • Do not post images of participants without consent. 

 

5. Conflict of Interest 

  • Avoid situations where personal interests could conflict with the duties or reputation of Mount Vernon Community Hall. 

  • Do not use your position for personal gain or to benefit family, friends, or associated organisation’s. 

  • Declare any potential conflicts (e.g., financial interests, relationships with suppliers, competing commitments) to the hall management promptly. 

  • When a conflict arises, remove yourself from related decisions or activities. 

 

6. Confidentiality 

  • Treat all personal, financial, and organisational information as confidential. 

  • Do not disclose sensitive information to unauthorised persons, both during and after your involvement with the hall. 

  • Ensure documents and records are stored securely and shared only when necessary for legitimate purposes. 

  • Breaches of confidentiality may result in disciplinary action and could have legal consequences. 

 

7. Reporting Procedures 

  • Immediate Action: If you witness or suspect safeguarding concerns, misconduct, or breaches of this Code, report them without delay. 

  • Who to Contact: Notify the designated safeguarding lead’s Lynne Millar & Donna Connor and / or Mount Vernon Community Hall Management Committee:  https://www.mvch.co.uk/contact-us 

  • How to Report:  

  • Verbally for urgent matters. 

  • Escalation: If the issue involves senior staff or is not addressed promptly, escalate to the governing committee or relevant external authority. 

  • Confidentiality: Reports will be handled sensitively and shared only with those who need to know within the safeguarding leads or Hall management Committee and Senior Youth Club Team as and when appropriate.  

 

8. Accountability 

  • Cooperate fully with any investigation or review process. 

 

9. Consequences of Breach 

Failure to comply with this Code may result in disciplinary action, removal from duties, or referral to relevant authorities. 

 

Acknowledgement 

All staff and volunteers must read, understand, and will be asked to sign this Code of Conduct before commencing duties.
